A scanner is a team member whose job is checking attendees in at the door. In TixFix they hold the Scanner Plus role and are assigned to specific events. Two decisions define a scanner: the role, which fixes what they can do, and the event list, which fixes where they can do it. Both are set in the same dialog, and both can be changed later. The role side of this is part of the broader team model — see Team members and roles.

What Scanner Plus can and can’t do

Scanner Plus is deliberately narrow. Door staff — often casual or volunteer — get exactly what they need to work the entrance and nothing else. They cannot see your revenue, change ticket prices, or touch your Stripe connection. The narrowness is the point, and it works in both directions. You can hand a login to someone you met an hour before doors without exposing anything sensitive, and the volunteer isn’t one mistap away from editing your event. Resist the urge to give door staff Admin “so they can fix things” — anything that needs fixing at the door is either covered by Troubleshoot scanning or is a call an organizer should be making anyway.

Add a scanner

1

Go to Settings → User & Role

Click Settings in the left sidebar, then the User & Role tab.
2

Click Add a User

The Add a User dialog opens.
3

Enter their name and email

First Name, Last Name, and Email Address are required. The invite goes to this address, so check it carefully.
4

Choose the Scanner Plus role

Open Select Role and pick Scanner Plus.
5

Assign them to events

Use Select Events to choose which events this person can scan. They will not see any event you don’t select.
6

Click Save

They appear in your user list immediately and receive an email invitation with instructions for signing in.
Select Events is the step that goes wrong most often — not by being done badly, but by being forgotten later. The assignment you make today covers today’s events; it says nothing about the ones you create next month.
Add your door team a day or two before the event, not on the night. It gives people time to accept the invite and sign in before there’s a queue at the entrance.
Add each person under their own email address rather than sharing one login across the team. It keeps the invite flow working per person, and it means removing one volunteer later doesn’t lock out everyone else.

Change which events a scanner covers

Find the person in the User & Role list and click the pencil icon on their row. Adjust Select Events and save. Do this when you add a new event to a run — an existing scanner won’t automatically see it. This is the single most common cause of “I can’t see the event” messages on the day: the scanner is set up, signed in, and staring at a list that doesn’t include tonight. Make updating your door team’s event lists part of creating any new event, and verify the day before rather than at the door. The same symptom and fix appear in the Scanning FAQ.

Remove a scanner

Click the trash icon on their row in the User & Role list. Remove people when a run ends rather than leaving old scanner accounts to accumulate — a short, current user list is easier to audit than a long stale one.
Removal takes effect immediately, including during an event that is currently running. If someone is mid-shift on the door, wait until the event is over.

One person, two roles

The same person can appear more than once in your user list with different roles — for example an admin who also scans. Each entry is managed separately. This is normal for small teams where the organizer works the door. Keep in mind that the entries don’t know about each other: editing or removing one leaves the other untouched.
