The guest list is every person registered for an event. It’s where you go to look someone up at the door, resend a ticket, or check whether an order actually went through. It answers a different question than any report does. Reports total things up; the guest list is the record of individual people and individual orders. Whenever the problem in front of you starts with a name — “I never got my ticket”, “my card was charged twice”, “I’m on the list, honest” — this is the screen that settles it.

Open the guest list

Screenshot coming soon. This flow needs a live order or a device we could not reach when these docs were captured. The steps below are written from the product as it behaves today; the illustration will follow.
1

Go to Events

Click Events in the left sidebar and find your event. Use the Upcoming / Past toggle and the Search Events box to narrow the list.
2

Open the attendee count

Each event card shows a Going count with the number of registered attendees. An event with no registrations shows No Guest instead.
The detailed guest list layout is being documented against the live app. If you need to look up an attendee right now, email contact@tixfix.ai and we’ll point you straight to it.

Looking someone up

A few habits make lookups faster and more reliable:
  • Search by email before name. Names get misspelled, shortened, and shared. The email address on the order is exact, and it’s usually what the attendee has in front of them.
  • Ask which address they used, not just their email. People register with an old address, a work address, or a partner’s address more often than you’d expect. “Not on the list” frequently means “on the list under a different email”.
  • Remember the buyer may not be the attendee. One person often books for a group. If a guest isn’t listed under their own name, ask who made the booking and search for that person instead.
  • Check the order went through before promising anything. If someone insists they paid but no order exists, ask them to look for the charge on their bank statement. A pending or declined charge with no order means the purchase never completed and they should book again.

What you use it for

If you need the list outside TixFix — for catering, badges, or a printed backup — export it rather than copying entries out by hand. The export also carries the answers to your custom registration questions, which is information the door screen doesn’t need but your planning does.

Guest list versus sales report

Two different questions, two different screens:
  • Guest list — who is coming. Individual people, individual orders.
  • Sales report — how many and how much. Totals by ticket category.
Use the guest list at the door and the sales report when you’re counting money. A common mistake is trying to reconcile revenue from the guest list, or hunting for one person’s order in a report. Each screen does one of those jobs well and the other badly. For reconciling money end to end, start from Sales detail and exports.

At the door

If a scanner can’t read someone’s ticket, the guest list is the fallback: find their name, confirm they hold a valid order, and check them in manually. See Troubleshoot scanning. That fallback only works if the person running the door can reach the guest list quickly. Decide before the event who has access on which device, and make sure it isn’t only the one phone that’s also scanning tickets. If the queue is long, one person scans while another handles lookups.
Have the guest list open on a second device before doors open. Looking someone up takes seconds; loading the page for the first time with twenty people waiting does not.
